Executive Assistant - Growth & Liveability

Cook Shire Council is seeking a highly motivated Executive Assistant to provide exceptional executive and administrative support to our Chief Operating Officer (COO). This is an exciting opportunity to play a key role in supporting the delivery of major projects, strategic initiatives, and essential services that help shape the future of one of Australia's most unique and beautiful regions.

You'll be the central point of coordination for the Directorate, working with a wide range of internal and external stakeholders while ensuring smooth operation, deadlines are met and information flows efficiently.

What you'll be doing

  • Provide high-level executive and administrative support to the COO.
  • Manage complex calendars, meetings, travel and competing priorities.
  • Prepare professional reports, briefing papers, presentations and executive correspondence.
  • Coordinate agendas, meeting papers, minutes and follow-up actions.
  • Support governance processes and ensure documentation meets Council standards.
  • Liaise confidently with Councillors, government agencies, contractors, consultants and community members.
  • Monitor projects, reporting deadlines and Directorate priorities.
  • Identify opportunities to improve systems and administrative processes.
  • Maintain absolute discretion when handling confidential and sensitive information.

  • Highly organised with exceptional attention to detail.
  • An excellent communicator with outstanding written and verbal skills.
  • Able to anticipate needs and work proactively with minimal supervision.
  • Comfortable managing multiple priorities in a busy executive environment.
  • Professional, approachable and confident dealing with people at all levels.
  • Experienced in executive administration, governance or senior-level business support.
  • Self starter with the ability to work independently and take initiative.  
  • Advanced Microsoft Office skills and a willingness to learn Council systems
  • Committed to delivering exceptional customer service and maintaining confidentiality.
