Executive Assistant - Infrastructure
Are you an organised, proactive professional who is ready for a career where your skills make a real difference to your community?.
Join Cook Shire Council and play a key role in keeping one of Cape York's essential service directorates running smoothly!
Working closely with the Director Infrastructure, you’ll be at the centre of the action — helping coordinate priorities, manage critical information and keep projects, plans and decisions on track. This is much more than an administration role. It’s an opportunity to take ownership, exercise initiative and contribute to the delivery of infrastructure and services that matter to our communities.
What you'll be doing
No two days will be quite the same! You'll bring your organisational skills, initiative and sound judgement to a varied and important role, including:
- Keeping things on track: Proactively managing the Director's diary, meetings, travel arrangements, competing priorities and deadlines.
- Getting the details right: Preparing and reviewing executive correspondence, reports, briefing notes, presentations and other important documents.
- Connecting the dots: Coordinating approvals, tracking actions and following up outstanding matters to keep work progressing.
- Helping deliver the big picture: Assisting with Directorate reporting, capital works and infrastructure planning, project coordination and stakeholder consultation.
- Building strong relationships: Liaising professionally with Council staff, contractors, consultants, government agencies and members of the public.
- Making things better: Identifying opportunities to improve administrative processes, workflows and systems.
- Handling sensitive matters with confidence: Exercising discretion, maintaining confidentiality and ensuring information is accurate and appropriately managed.
What we're looking for
You're someone who takes pride in getting things done. You can see what needs attention, plan ahead, juggle competing priorities and keep your cool when things get busy.
You'll also bring:
- Demonstrated experience providing high-level administrative or executive assistance to senior management in a complex organisation.
- Strong written and verbal communication skills, with experience preparing and coordinating reports, correspondence and executive documentation.
- Excellent organisational skills, attention to detail and the ability to work with minimal supervision.
- Confidence using Microsoft Office and the ability to learn new systems quickly.
- An understanding of governance, confidentiality, compliance and procedural requirements.
- A proactive, solutions-focused approach, sound judgement and the ability to work collaboratively with a diverse range of people.
